Send your standard terms of business alongside each engagement letter, get existing clients to re-sign when the terms change, and keep a record of exactly which version each client agreed to.
Which version did they agree to?
Your terms of business sit behind every engagement: fees and billing, limitation of liability, data protection, anti-money laundering checks, how either side can end the engagement. They change over time, and after a few years most practices have clients on several different versions.
When a dispute or a fee question comes up, the useful answer is not “we sent the terms” but “the client signed version 4 on this date”. That is hard to show from an email thread with an attachment.

Version your terms
Put a version number and date in the footer of your T&Cs, and save the current file in your onboarding template with the engagement letter.

Send with every new engagement
New clients receive the engagement letter and T&Cs in one pack, so the terms are agreed at the same moment as the engagement.

Send existing clients the new version with a short summary of what has changed. Reminders follow up with anyone who has not signed.

Terms and conditions questions
Do clients need to sign our terms of business?
Many practices ask for a signature so there is clear evidence the client accepted the terms, rather than relying on the terms simply being sent. Your professional body's guidance and your own advisers can tell you what your practice needs.
How do I know which version of our T&Cs a client agreed to?
Put a version number or date in the document footer. The evidence record for each completed pack includes a SHA-256 fingerprint of every document, so you can show exactly which file the client signed.
What happens to existing clients when our terms change?
Send the updated terms as a new pack to each existing client. Clients who signed the earlier version keep their earlier record, and the new pack records their agreement to the update.
Can T&Cs go in the same pack as the engagement letter?
Yes. A pack can hold up to 10 documents, so the engagement letter, terms of business and any other onboarding forms can be signed together.
